A Quote and the Invoice it becomes are tracked separately — converting creates a brand-new document, so each side has its own states:

• Quoting — default, still being built.
• Sent to Customer — set automatically when you click Share on a Quote.
• Ready to Invoice — set automatically when a tech attaches an FSR or PM report. Independent of "Sent to Customer" — either can happen first.

Once Convert to Invoice is clicked, a new Invoice document is created and starts its own track:

• Approved — set automatically the moment you convert. Converting is the record that the customer said yes.
• Invoiced & Sent — set automatically when you click Share on the Invoice (emails Purchasing).
• Paid / Complete — the only manual step. There's no automated feedback from Purchasing about payment, so click it yourself once you know it's been paid.

Each customer can have multiple site Locations. The first time you save a new customer with an address filled in at the top, Location 1 gets created for you automatically — no need to re-type the same address twice. Each Location has four contact roles: Primary (used to auto-fill "Attn:" on new quotes, and where Share on a Quote sends the email), Maintenance Mgr, Purchasing / PO, and AP / Billing.

"+ Attach FSR" and "+ Attach PM" create a field report tied to a quote/invoice, opened in the Field Docs hub. Attaching one is also what moves a Quote's status to "Ready to Invoice." (PM reports have their own optional Flatness Check section built in — no separate attach step needed.)

• This document only — just the quote/invoice you're looking at.
• Invoice + Attached Docs — the invoice plus any attached FSR/PM reports, as one package.
• Invoice + Quote + Docs — same, plus the original quote it was converted from.

The Share button's destination depends on what's open: on a Quote it emails the customer's own Primary contact directly; on an Invoice it emails Purchasing for review/formatting before it goes to the customer. Either way it opens a prefilled draft in your own email app — you attach the PDF (Print / Save PDF) and hit send yourself. Needs one-time setup: a Purchasing email address (Users → Settings) and, per customer, a Primary contact email (on their Locations card).

Managers see this full page — quotes, invoices, customers, users. Techs work from Field Docs — FSR/PM reports and photos, no access to pricing or customer management. Admins have everything a Manager has, plus the Audit Log (who changed what, with the ability to revert) and are the only ones who can grant the Admin role to another user.
